Office and Facilities Operations Manager
The Office Operations Manager provides critical leadership in managing the overall administrative operations of Our Neighbors’ Table including its office management and multiple facilities’ management functions and ensuring that the office team presents a welcoming first impression for our guests, volunteers, and community members. The essence of this in-person role is to be the central contact for the practical daily functions of the organization and to be the reliable, supportive, organized person whom others can count on. Our Neighbors’ Table has built a community within a community where neighbors connect, shop, eat and strive to accomplish one goal: breaking down barriers to
eliminate hunger in Northeastern Essex Community. Our success draws from a focus on alleviating food insecurity as its sole mission, attention to the quality of
our services and effective engagement of the community in carrying out its programs.
The Resource Development Department is charged with ensuring adequate revenue and human capital to execute Our Neighbors’ Table’s mission and to
support our programs, which are growing rapidly. The Development Operations Coordinator handles the office-based work of the development team, manages
the donor database, and ensures continued quality of donor operations and constituent management. The essence of this role is creating a strong sense of
organization, supreme attention to detail, responsiveness and positive and warm donor interactions. The ideal candidate has a mastery of database management
and a genuine interest in accurate data and reporting.

team works out of our new Salisbury, MA facility.

Office and Facilities Operations Manager

Duties & Responsibilities
Office Management
Team Direction
- Maintain a team of volunteers to support general office functions
- Work with program teams to ensure all Office Admin volunteers have proper information and training for program-related activities
- Provide training and supervision to ensure all guests are received and responded to in a timely and respectful fashion
- Phone support for Office Admin volunteers
- Maintain all administrative records including vendor files, contracts, facilities and equipment information, phone lists.
- Manage renewals and subscriptions
- Procure general office equipment and supplies, maintain and review inventory.
- Manage all incoming and outgoing mail
- Ensure strong internal communications throughout staff
- All other duties as assigned by the Executive Director or Director, Finance & HR
Facilities Operations Management
Physical Site Operations
- Maintain annual leasing for all ONT sites, work with Finance to ensure timely payments
- Coordinate inspections, licenses and permits- including health inspections, fire, occupancy, and pest control with department managers. Update postings and process billing (with Finance) to vendors for these inspections.
- Maintain building alarm system, assign codes and train staff, point of contact for security breach, fire drills and other emergency actions
- Manage routine maintenance and scheduling repairs of ONT properties including HVAC, carpentry, cleaning, plumbing and electrical
- Maintain seasonal checklist of all scheduled annual updates, repairs, and inspections
- Address unexpected issues in a timely manner to ensure continuous operations throughout organization
- Manage all utilities and serve as primary contract for utility companies, negotiate contracts for energy supply companies, handle monthly billing with Finance
- Manage AVAYA phone system and serve as account administrator responsible for training, system issues/outages, monthly billing, phone assignment changes, updates and additions
- Manage internet and TV services and serve as primary contact for internet company, negotiate contracts, troubleshoot internet problems, maintain Comcast equipment
- Manage printing and reproduction and maintain contracts, billing and maintenance of copier and printers
- Coordinate with Director, Finance & HR to update & maintain labor law poster compliance in all locations.
IT Liaison and Support
- Serves as the primary contact for our outsourced IT Support Team. Attends quarterly review meetings, maintains centralized reference binders and processes billing (with Finance).
- Orders, maintains and inventories all IT equipment, including computers, firewall, Wi-Fi, computers and tablets.
- Trains staff on when to connect with IT and when we can troubleshoot internally. Sets up with external IT to provide support and hardware/software when new hires are expected.
- Maintains Google Drive. Serves as internal admin for Google account, G Drive and Gmail. Control all access, recovery and permissions, with support from external IT
- Maintain Emergency Action Plan (EAP)
- Maintains Wireless Internet Security Provider (WISP) policies and procedures; oversee compliance and reporting
Experience and Key Skills
- 5+ years of administrative experience, specifically office operations and management
- Experience working with and managing volunteers and/or direct supervisory experience required
- High school diploma or GED required
- Compassion for others and a philosophy that aligns with ONT’s core values of dignity, community and respect
- Strong time-management practices, organization, multi-tasking and project management skills
- Expertise in Microsoft Office Suite and other technology to organize, create priorities and track activities
- Expertise in navigating, setting and troubleshooting hardware/software for PCs and office networks
- English written and verbal fluency required
- Multi-lingual capacity strongly encouraged, preferably Portuguese and/or Spanish
- Demonstrated initiative and ability to work independently
- Positive attitude, respectful communication, and strong interpersonal skills
- Ability to manage and maintain contracts

Responsibilities include:
- Carrying out critical development operational functions, including database management and reporting
- Processing gifts and donations accurately and in a timely manner and providing accurate records of donations/gifts to donors and organizations
- Corresponding with donors (both via email and phone) to provide customer service for donations and gifts
- Ensuring accurate constituent records in our database, for donors and volunteers
- Serving a key systems position for the department, responsible for data, reporting and revenue tracking
Minimum Requirements:
- Two-plus years experience in an administrative position, preferably in a not-for-profit development office or customer service/sales environment
- Database management experience and proficient with Microsoft Office Suite, experience with Bloomerang, Sales Force or similar database system a plus
- Highly organized with strong attention to detail
- Ability to analyze and synthesize data
- Positive attitude and strong interpersonal skills
- Demonstrate initiative and ability to work independently
- Strong customer service, oral and written communication skills
- Experience supporting a team or operations
- Commitment to maintaining confidentiality and handling sensitive donor information with discretion
- Compassion for others and a philosophy that aligns with ONT’s core values of dignity, community and respect
- Successful CORI screening
- High school diploma or GED required
